PRESIDENTS REPORT

Annual General meeting November 9th, 2011

PRESIDENTS REPORT

Barbara and I would to thank everyone for coming out tonight and to our dancers a special thank you for supporting your executive in making this another successful year of dancing

Barbara and I were new to the presidential game and found it challenging but rewarding. It was great to have a wonderful executive to help us out, and the experience of the Andrew and Bernice Newey as Past President couple. We are willing to continue on for the next year if the club wishes us to do so.

Keren and Dan Carter were very active in securing our halls from the city. They did a great job with the new format (dealing with two different people in two separate locations). Keren also secured with the help of Susan a new caterer for the Christmas party.

Susan and Doug Hopkins did a great job keeping our Finances in order over the past year, even through a surgical recovery that prevented them from dancing for the past couple of months. They have agreed to continue on in the position for another year if the club wishes.

Daphne green and Chuck Sheehan have done a marvelous job as Club Secretary Couple keeping all of our written records in order. Chuck maintains a website blog c8announce.blogspot.com/ for the Club which is a good source of information and pictures of various events. I encourage everyone to check it out periodically. Its well worth your effort.

Jack and Yvonne stepped in at the beginning of the year to replace the Summers after Kathleen had an unfortunate accident. They have taken care of the A2 dance night for a number of years and are to be commended for stepping up to the plate once again in our time of need.

The plus coordinators Ron and Bel Bishop, Walter Witt and Ilona Eberle have done an outstanding job for the past couple years and have decided to take a rest form their duties. As of last week we are still looking for someone to take over the reins.

Bert & Marilyn Koll ever dependable have done a great job of being Social Conveners keeping both dance nights well supplied with coffee, utensils and other assorted goodies. They are readily available to bring the needed decorations from their storage facility to any special dance night.

Fraser Valley Representative Marguerite Jordan writing the chatter in the Valley circle has entertained anyone who has read her gripping accounts of what is happening at Chuckwagon 8s dance nights.

A special thanks to all the club members who have helped: selling ticket for the 50/50, keeping the kitchen stocked and running, helping with decorating the hall on special occasions.

We would like to give a special acknowledgment to Brian and Gerry Catterall, for maintaining and publishing our club membership lists.

Thank you to all of the club members for making this the fun club that it is, Thanks to two of the best callers in the lower mainland (Ray and Brent) and to Alison our premiere cuer. They help make our club what it is.

We wish to thank Tom and Bea Mercer (our US members) for their periodic email notifications for the plus dances, a job well done. A very specially thank you to Bea who donated her time to create the beautiful new Chuckwagon 8s banners for both dance nights.

We have had a great year of dancing since our last meeting.

Last years Toys for Tots was a great success thanks to the efforts of Barry and Elaine Bentley and the Road Runners. They have once again stepped up to the plate and the Toys for Tots Dance will be held on Dec 3rd in the Charles Rummel Hall with again the assistance of the Road Runners. The club will again give a cheque to the Xmas Fund amounting to half of the proceeds from our 50/50 draws and hope to continue this in the future.

Our Christmas dinners last year were well attended and received. This year we are going with a new caterer and the menu looks very good. Something to please everyone we hope.

We had a number of special evenings:

The Bowling and Pizza night was organized by the Bentleys and the Perras. Everyone who attended had a wonderful time with great prizes, good eats and great camaraderie. This was a great outing to bring both dance nights together.

Barry and Elaine again stepped up to organize the Pub Night at the Legion. Again this year it was a great success adding $535 to our coffers. As a group we enjoyed good company and great dancing. We look forward to next year’s event.

We wish to thank Barry and Elaine Bentley on behalf of the club for stepping up and organizing these events. We understand that they are willing to do it again next year.

In March of this year we hosted a plus night event featuring Gary Shoemake. This was a great night of dancing and a profitable evening for the club as we netted $633 from the evening. Unfortunately we will not be hosting a US caller next year as the timing is not good for the club.

The month of May saw us all enjoying excellent weather and another fantastic Golf and Banquet day organized by George and Katherine Bruschinsky. We wish to thank George and Katherine for all their efforts and hope that they will organize and host their 12th annual Golf and Banquet day next year.

The club subsidized the golf meal for members and will also subsidize the Xmas dinner coming up on our last day of dancing December 7th for the Advance group and December 8th for the Plus group

Our 2nd annual train dance was a resounding success with 8 squares attending. Kudos go to the decorating committee (headed by David and Jennifer Knee) for outstanding decoration. Thanks must be also given to Chuck Sheehan for his model train set up. It was a hit with all in attendance. Brent did an outstanding job of singing and calling to the Train songs once again

The A2 teach daces in the winter spring months were beneficial as it increased the number of squares dancing to 6+ for most evenings and made them profitable.

The Plus group on the other hand has had diminishing attendance due to illness and injury to a number of dancers. We have lost more than 6 couples over the year and may not have them back dancing for a long time, if ever. The Plus group dance night is in the red.

Financially the club is still quite solvent with net assets approximately of $17,000 which may be lower by year end. However this is a $5,000 drop in the past 3 years (we ended 2008 at $22,800). We as a club need to find ways of reversing this trend by increasing our net dance night revenue or decreasing our expenditures.

Once again we wish to thank you to all for your help and support.
